What your plan includes

Every plan is described by the same fixed list of limits and switches. Here is what each one controls and when it starts to matter.

Last updated July 26, 2026

Your business has a plan attached to it, and that plan sets a fixed list of limits and switches. The dimensions are the same for everybody; only the numbers and the switch positions differ. If you are not sure which plan you are on, ask us — there is no screen you are failing to find.

The dimensions

DimensionWhat it controlsWhat it means day to day
ProgramsHow many programs you can runOne café needs one; a shop with a stamp card and a points scheme needs two
Unique customersHow many people can be membersThe figure on your Members tile
ProductsHow many product records your business can holdIf you are not using products, this never comes up
Team membersHow many staff accounts existOwner and scanner accounts both count
Months of historyHow far back you can look at points activityWhether you can compare this March with last March
AnalyticsNone, basic or advancedHow much detail you get beyond the headline numbers
Data exportNone, basic or advancedWhether your data can leave VivaPoints as a file
FiltersNone, basic or advancedHow finely you can narrow down a long customer list
Manual pointsWhether you can award points by handThe Customers routine most businesses run on
Advanced layersWhether mechanics beyond plain points are availableTiers, referrals and the other layers
PremiumWhether the plan is classed as a premium oneAn internal grouping, not a plan name

Three of those need a caveat

Data export and Filters are real dimensions on the plan, but there is no export button and no filter interface in this version. If your plan allows export and you need your customers or your points history as a file, ask us and we will produce it. We would rather write that sentence than send you hunting for a button that is not there.

Manual points is the one to check before you launch. Awarding points from the Customers screen is how points get issued today, so if you are planning a counter routine around it, confirm with us that your plan has it switched on.

What a limit does not do

A limit is a ceiling on what you can add. It is not a delete button.

Your ledger — every point ever issued, spent or corrected — is permanent, and balances are derived from it. A shorter history window means you can see less of that record, not that less of it exists. Your members stay members and their balances stay their balances.

An example. A bakery with 480 members and a 500-customer limit is twenty sign-ups away from a conversation with us, not from losing anything. Nothing about those 480 members, their points or their history changes whichever way that conversation goes.

Next

Changing your plan covers how to ask and what happens afterwards. If you are trying to work out how many team members you genuinely need before you count them against a limit, team members and roles has the honest answer.
