Privacy and customer data

What VivaPoints stores about a customer, what you can see as the business, what you cannot, and how to answer the questions customers ask you.

A customer's account belongs to the customer. VivaPoints holds what it needs to make their card work and shows you the part you need to run your program. This page is the plain-language version you can use when someone at the counter asks.

What VivaPoints stores about a customer

  • Their account. The name and email address they typed in when they signed up, and the password they set.
  • Their memberships. Which of your programs they joined, and when.
  • Their balance and tier in each program.
  • The ledger. Every point they have ever earned, spent or had corrected, as a permanent line. Nothing is overwritten and nothing is silently deleted, and their balance is worked out from those lines rather than stored as a number someone can edit.

That is the shape of it. There is no shopping basket, no purchase history beyond the points a transaction produced, and no payment details — VivaPoints never asks a customer for a card number, so there is nothing of that kind to hold.

Who can see what

What you can see as the business

The Customers page: name, email, which program, points balance and tier, plus any redemption waiting for you to confirm. Your Overview shows the same population as totals — members, active members, points issued and redeemed, and so on. That is the whole of your view.

What you cannot see

  • Their password. Nobody at your business and nobody at VivaPoints can read it back to them.
  • Anything they do at another business. If a customer holds a card with the café down the road, that card, its balance and its history are invisible to you, and yours are invisible to them.
  • Anything you never collected. VivaPoints is not a till and does not know what was in the basket, only how many points came out of it.

Who else can see your customer list

Your team. Anyone you have added as a team member. Each one has a preset — owner or scanner — and a scanner can confirm redemptions without getting an owner's full access. There is no self-serve invite screen yet, so you ask us to add someone, and you ask us to remove someone when they leave. Do that on the day they leave.

Your organization, if you are in one. Several businesses can be grouped into an organization, and organization views can see across the group. Those views are read-only today.

Do you sell customer data?

No. VivaPoints does not sell customer data and does not hand it to advertisers. If a customer asks you this — and they do ask — that is the answer.

What a customer can ask for

Two things come up: a copy of what is held about them, and deletion of their account.

Both are handled by asking us. There is no export button in the product today and no delete-my-account button. Send the request to us, or tell the customer to, and we will deal with it. Data export is one of the capability dimensions attached to your plan, but the dimension describes what you would be entitled to, not a button that exists — changing your plan explains how plan changes work in this version.

The likeliest place customer data goes wrong is not the platform. It is a laptop left open on the counter facing the queue, or every member of staff sharing the owner's login. Ask us for a scanner account for each person who needs one; it lets them confirm redemptions without seeing everything else.
